Legal copies, also known as certified copies, are official duplicates of your original Deed Poll document. These can be used as alternatives to your original Deed Poll when submitting proof of your name change to major record holders, such as:

Our legal copies are not reprints of your unsigned Deed Poll. They are color-certified duplicates of your original, signed Deed Poll, officially recognized as true copies.
Who Accepts Legal Copies?
Most organizations accept our certified legal copies. However:
- Standard Life Group and Northern Rock Building Society require original documents but provide in-person verification services.
- If you are a British national living overseas, your original Deed Poll may be required for a new passport application.
Legal copies remain valid for updating UK-based documents and records.
How Many Legal Copies Should You Order?
The number of legal copies you need depends on the number of record holders you need to notify and how quickly you want your documents updated.
- Most clients order 4 legal copies.
- Some clients with numerous record holders order up to 25 copies to notify multiple organizations simultaneously.
How the Legal Copy Service Works
- After signing your Deed Poll, return it to us using the prepaid envelope provided.
- We certify the number of legal copies you ordered and return them, along with your original Deed Poll, within two working days.

Archive Service
We store a digital image of your signed Deed Poll in our secure archives. If you lose your original or legal copies in the future, you can easily order replacements without needing to apply for a new Deed Poll.
Fees for Legal Copies and Archive Service
- Base Fee: £13 + £1 per legal copy (minimum two copies).
- Express Return Service: £10 (optional upgrade).
- Future Legal Copies: £12 for the first copy, £2 for each additional copy.
- International Delivery: £5 surcharge for addresses outside the UK.
Delivery Information
All documents are sent via Royal Mail’s International Signed-For service for overseas addresses, ensuring secure and expedited delivery.
