Obtaining a Copy of Your Lost Deed Poll

Losing your Deed Poll document can be concerning, especially when you need to provide proof of your name change. At the UK Deed Poll Service, we understand the importance of having valid documentation and are here to guide you through the process of obtaining a replacement. 

Understanding Your Options

The steps to obtain a copy or replacement of your Deed Poll depend on how and when it was originally issued. 

If You Used Our Legal Copy and Archive Service

If you previously changed your name through our service and opted for our Legal Copy and Archive Service (available since May 2000), we can provide you with a certified copy of your original Deed Poll from our archives. If You Did Not Use Our Archive Service

If you did not subscribe to our archive service, we do not have a copy of your Deed Poll. In this case, you will need to apply for a replacement Deed Poll. As a previous client, you may be eligible for a fee reduction. Before applying, please read our guidance on completing the application form. 

If Your Deed Poll Was Issued Elsewhere or Before May 2000

If your Deed Poll was prepared by another provider or issued before May 2000, and you did not have it enrolled, there may not be an archived copy available. In such cases, the standard practice is to apply for a new Deed Poll. We issue Deed Polls daily to individuals who have lost their original documents. 

Replacing a Lost Statutory Declaration

If you changed your name via a Statutory Declaration, it’s important to note that these documents are typically not archived centrally. If you’ve lost your original, obtaining a new Statutory Declaration can be time-consuming and may require swearing before a Commissioner of Oaths or a Justice of the Peace. Alternatively, a Deed Poll is widely accepted and can serve as a convenient replacement. 

Obtaining a Copy of Someone Else’s Deed Poll

We can only issue a legal copy of a Deed Poll from our archives to the person named on the document.

However, for a child’s Deed Poll, we can provide a copy to anyone with parental responsibility or to the child if they are now 16 years of age or over. If you are not the parent who applied for your child’s Deed Poll, we will need to see documentary evidence of your parental responsibility. Completing the Application Form 

When applying for a replacement Deed Poll: 

  • If you have not changed your name since the original Deed Poll: Enter your former name in the “current name” fields and your current name in the “new name” fields. This replicates the original name change. 
  • If you have changed your name since the original Deed Poll: Please contact us with details of all your name changes, including dates and methods, so we can advise you on the appropriate steps: https://deedpollsonline.co.uk/contact 

 

We can also modify your replacement Deed Poll to include a declaration stating that you have been using your current name for all purposes since a specific date. This addition helps clarify that the document is a replacement, not indicative of a new name change.
